Research and Administration Officer
(1-year fixed term contract with option to renew)
SALARY: £22,000-24,000
HOURS OF WORKING: 37.5 hours per week (Monday to Friday, 9am to 5.30pm).
LOCATION: On site. WYC HQ is based in Winchester City Centre.

About Winchester Youth Counselling:
At WYC our mission is to provide counselling, therapy and mental health support to young people aged 11-25 in Winchester, as well as support and advice for parents and families, so that young people are supported to thrive and live happier lives.
Our services include one to one counselling, walk and talk, and nature therapy sessions for local children and young people who are facing difficulties with their mental health. We also run a youth drop-in service in Winchester City Centre. We offer support to parents and carers too with parent consultations and parent workshops.
It’s a pivotal and exciting moment for our charity. Thanks to recently securing substantial funding, we’re ready for exciting growth and looking to make an even greater impact on local young people’s mental health.
About the Role:
In this role, you will be wearing many hats. Based in the office, you will be the first point of contact for many children, young people and their families seeking counselling services. You will provide crucial administrative support to our team of counsellors, ensuring they can focus on delivering high-quality counselling. You will work closely with the Operations Manager to create and synchronise processes for tracking clinical and non-clinical outcomes to help to continuously evaluate and improve the performance of the charity. You will work with the Fundraising and Partnerships team to research, plan and execute effective community engagement work which will help the charity to further its mission and vision, and communicate this to more stakeholders. You will conduct research to aid the organisational aims, from benchmarking our internal performance against best practice, to understanding key challenges and opportunities for the charity as we move forwards. You will take on project-based work, including assisting the Senior Management Team with the review and update of organisational policies and other key organisational documents.
Your Responsibilities:
Research and Governance:
- Work with the clinical team and Operations Manager to collate and measure quantitative and qualitative clinical data
- Conduct benchmarking of service performance against other relevant providers
- Conduct landscape and competitor analysis for existing organisational programming, and ahead of future project decisions
- Support the Trusts and Grants Manager with research backing for funding applications
- Support the Trusts and Grants Manager with gathering outcomes data, including interview feedback for grants funding
- Create information packs for the team and Board on relevant topics as requested
- Provide research assistance to the CEO for strategic and business planning
- Support the Community Fundraiser with planning and execution of campaigns.
- Support the Operations Manager and other team members by helping to build reporting processes to manage outcomes and map these to organisational targets
- Work with the CEO and other key Senior Management within the organisation to review and keep up-to-date governance documents, including organisational policies and procedures
- Support the CEO and Operations Manager with Board reporting requirements
Administration:
- Manage group email mailboxes, ensuring timely and professional responses to all enquiries.
- Be the first point of contact for all counselling enquiries, providing information and support with empathy and discretion.
- Organise and cancel counselling appointments in close liaison with the Clinical Team, maintaining accurate and up-to-date records.
- Manage the staff diary, scheduling meetings and ensuring smooth office cover during staff absence.
- Data entry and analysis of relevant information, ensuring confidentiality at all times.
- Manage the waiting list for counselling services, effectively communicating wait times and updates to young people and their families, where appropriate.
- Provide general administrative support to the team, including filing, photocopying and managing office supplies.
Other:
- Provide support with general office cover, team support and other ad hoc tasks as requested by the Operations Manager, CEO or other senior team members.
We are looking for someone who:
- Has strong research and analytical skills and the ability to quickly understand new constructs and contexts.
- Has excellent organisational skills and is flexible, with the ability to prioritise workload effectively.
- Has great communication skills, both written and verbal, with a friendly and approachable manner.
- Is a team player who can work independently and as part of a team.
- Has a strong commitment to data protection and confidentiality.
- Is proficient in IT. Including Microsoft Office Suite (Word, Excel, Outlook).
- Experience working in a charity or similar environment is desirable but not essential.

At Winchester Youth Counselling, we’re about supporting positive mental health and wellbeing for local children and young people aged 11-25 living in the Winchester district.
We provide a range of therapeutic services to children and young people who are facing mental health challenges. We offer support to parents and carers too.
Our counselling services work to improve the long-term wellbeing of the children and young people, enabling them to overcome trauma, develop coping strategies for difficult feelings, build resilience and live happier lives.
We are looking for trustees from a diverse range of backgrounds with skills and abilities to join our charity Board. Your role will be to contribute to the strategic direction of the charity and support our CEO as we look forward to a future where we can help more young people with their mental health.
